Terms and Conditions

ARRIVAL
Your yurt or carriage is available from 5pm on the day of your arrival. If we don’t have back-to-back bookings it may be possible for you to arrive earlier – just contact us a couple of days before to ask. Please let us know your expected arrival time when you book so we can greet you and show you around. If you are going to arrive at a different time to the one stated on your booking, then please let us know. On arrival please ensure you read the ‘Welcome and Safety Guidelines’ notice placed in the yurt or bell tent.
We would appreciate it if you removed your shoes before entering the yurt or bell tent.

DEPARTURE
On the day of your departure please leave the site by 10am.  You are kindly asked to leave everything in a clean and tidy condition, thank you.

ANIMALS
Upper Haselor Farm is a smallholding so there are animals around, including sheep grazing in parts of the orchard. Sorry, but we cannot allow dogs or other pets on site. Please also respect our neighbours’ animals and do not enter their fields, distress the animals or drop litter. Please keep gates closed too, thank you.

CHILDREN/GENERAL SAFETY
We want your children to have fun and stay safe – please supervise them especially around the campfire, woodburner, BBQ and in the kitchen area. Under 18s must be accompanied by their parents or legal guardians. There are sheep grazing in parts of the orchard separated by an electric fence. Please be responsible for your children’s safety at all times and ensure that any tools used ie axes or sharp implements are put out of reach after use. Please keep campfires small and manageable within the designated firepits, and take care when using candles inside. Never put a lit BBQ inside a tent or carriage, or on the tables. Do not leave any fires burning unattended and make sure all fires, BBQs and candles are out before going to sleep.

SMOKING
All of our accommodation is non-smoking. Please do not smoke near the showers or kitchen areas due to the presence of gas bottles.

NOISE
Although we have no direct neighbours, sound does travel at night so we ask that noise be kept to a minimum in the evenings and that no amplified music is played. We reserve the right to deny access or terminate the stay of those guests whose behaviour is deemed unsuitable. No refunds will be offered.
We are surrounded by countryside which means that along with its beauty and fresh air, comes noises and smells as farmers and animals go about their business. At night you may hear animals – owls, foxes, rabbits etc so you may hear them hooting/barking/baa-ing, and you may be woken early by the dawn chorus. We hope this will add to your ‘closer to nature’ experience, not detract from it. At certain times farmers may be working in the fields into the evening – such as when harvesting/ploughing.  During two weeks in August the plums will be harvested so there will be pickers in the orchard.

LOGS AND CAMPFIRE WOOD
We provide ample logs and wood for normal usage of the campfire or the wood burning stove in the yurt. We also sell additional bags of logs for anyone who wish to have campfires or use the wood burning stove to excess!

PARKING
There is parking space for one car per yurt or carriage. It may be possible to bring an additional vehicle if some of our units are un-let. Please contact us a couple of days before your arrival if you wish to bring more than one vehicle. The car parking area is close to the entrance gate, a short walk from the yurts and carriage. It is not possible to drive right up to your yurt or carriage due to the close spacing of the trees in the orchard. We supply a trolley to carry baggage to your yurt or bell tent and will be happy to assist you if required.

LOST PROPERTY
Any property left behind will be returned by post on request. All lost property will be kept until the end of the season and then disposed of.

COMPLAINTS
We want all our visitors to enjoy their stay at The Orchard Getaway, so please talk to us while you are here if there is a problem. In the event that you have any complaint about your stay, please notify us as soon as possible and we will do all we reasonably can to resolve the issue.

INFORMATION
Information on the website is correct to the best of our knowledge, but circumstances outside of our control may cause it to become inaccurate. We apologise for any inconvenience that may result from this.

BOOKING AND PAYMENT
Bookings are only secure on receipt of your deposit or payment in full. If a deposit has been paid, the balance is due 14 days before your arrival. Unless you contact us and make an alternative payment before this date, we will charge the balance to the card used to pay the deposit. If you wish to pay the balance on a different card, please contact us and we will send an email invoice which you can pay online.

GROUP BOOKINGS
The organiser of a group booking must be over 18 years and is responsible for completing the group’s details on the booking form and for coordinating all payments. The organiser agrees to take responsibility for the party occupying the site. It is a condition of your booking that the total number in your party should not exceed the capacity of each yurt or carriage as advertised and should correspond with your booking form.

CANCELLATION
Please contact us immediately by email if you have to cancel. If cancelling your booking 2 weeks in advance or more we will offer a refund minus any credit card and booking fees. If cancelling less than 2 weeks before your arrival date, a partial refund will be offered if the yurt or carriage is re-booked, at our discretion. We recommend purchasing holiday insurance.

ALTERATIONS
Alterations to the dates of your booking can only be made up until 2 weeks before your arrival date, dependent on the new dates being available.

LIABILITY
The Orchard Getaway accept no liability for accident, loss of property or personal injury which may be sustained by your party or guests or our property during your stay at The Orchard Getaway. You will be held responsible for any serious damage done or loss sustained to property during your stay. You agree that the card held by us may be charged in the event of damage caused by you.

COVID-19

The following additional terms and conditions have been added to in response to the threat of Covid-19.

Cancellation. For guests wishing to cancel their stay, the cancellation policy remains as above. There may be circumstances in which we need to cancel your booking, eg further tightening of lockdown by the government, or if we the owners become ill and need to self-isolate. In the event we cancel your booking we will offer you the choice of alternative dates for your stay or a full refund. We accept no liability for any other costs incurred and recommend purchasing travel insurance.

Illness. If you are showing symptoms of Covid-19 in the 7 days upto and including your arrival date, you must stay at home and self-isolate. Guests showing signs of Covid-19 whilst staying The Orchard Getaway are required to go for a test at the nearest available test site. The result of this test must be shown to the owner. If positive then the guest must immediately leave if this is reasonably possible. If for any reason that it is not possible, and self-isolation is required to take place at The Orchard Getaway, then all fees for all bookings affected by this self-isolation will be borne by the guest.

Cleaning. There are no communal facilities as we have reduced the number of units and increased facilities so that each unit can have its own toilet, shower, sink, firepit and kitchen area. To minimise the risk of cross infection we won’t clean during your stay but will provide cleaning equipment.

Laundry. Guests are kindly requested to strip the bedding and place it in the laundry bag provided before checking out. All bedding will be left for 72 hours before being laundered at 60° to destroy any germs. If you would prefer to bring your own bedding please let us know when you book.

Group Bookings. The government strongly advises that shared sleeping spaces should not open to any groups, except those travelling within the current government guidance on social mixing outside of household groups. Therefore each yurt or carriage should only be occupied by a single household, or two households which have formed a “bubble” as per the government guidance.

Social Distancing. We ask all guests to please observe 2m social distancing from other guests not in the same household at all times while on site.

Track and Trace. We will keep a temporary record of all guests’ contact details and will assist NHS Test and Trace with requests for that data if requested.
